IBPS RRB Upload Rejection Reasons — Decoded

The CRP RRBs portal validates every file before letting you continue, but its error message is famously unhelpful. Here is what actually causes each rejection — every rule below is taken from Annexure III of the official CRP RRBs-XIV notification (ibps.in) and the official IBPS 2026-27 calendar, verified August 2026.

Generic "file error" on upload

The RRB portal does not say what failed — but it is nearly always dimensions, file size, or format. Photo must be exactly 200×230px JPEG at 20–50KB; signature exactly 140×60px JPEG at 10–20KB. Per the XIV notification, the form will not let you proceed to the next stage until both files validate, so this error hard-blocks your application.

File below the minimum size floor

IBPS enforces minimums, not just maximums: 20KB for the photo, 10KB for the signature, 50KB for the declaration. Images passed through WhatsApp or aggressive phone compression routinely fall under these floors and get rejected even though they "fit". This tool compresses downward from maximum quality, so output lands inside the band whenever the source allows.

PNG, HEIC, or WebP instead of JPEG

All four image uploads — photo, signature, thumb impression, handwritten declaration — must be .jpg/.jpeg per Annexure III. iPhone HEIC files and transparent PNGs are common silent failures. This tool converts any JPEG, PNG, or WebP input to a standard JPEG and flattens transparency onto a white background.

Signature in capital letters

The notification explicitly warns that a signature in capital letters is not acceptable. Sign naturally in running hand with black ink on white paper, photograph or scan it, and crop tightly with the 7:3 signature guide here. Your signature at the exam hall must match the uploaded one.

Declaration mistakes (wrong slot, typed, wrong language)

Per Annexure III, the handwritten declaration must be in English, in your own handwriting, and not in capitals — typed text or another person’s writing makes the application invalid, and applicants have reported accidentally uploading their signature file in the declaration slot. The declaration and thumb impression have their own sizes (800×400px, 50–100KB and 240×240px, 20–50KB); resize both with the dedicated tool linked below.

SSC certificate PDF over 500KB

The 10th certificate upload is mandatory for all candidates and must be a PDF in A4 layout no larger than 500KB — the XIV notification states the application "will not be registered" without it. If your scan is heavier, rescan at lower DPI or in greyscale. Remember the split: images as JPEG, certificates as PDF.

Live photo capture failures

The mandatory live photograph (webcam or mobile QR flow, per the IBPS 2026-27 calendar) fails on denied camera permission, dim lighting, and background or corrupted-image validation. Allow camera access in the browser, face a light source against a plain background, and keep your look consistent with the uploaded photo.

Dark, patterned, or shadowed photo background

The photo must be a recent passport-style colour photo against a light or white background. Busy backgrounds pass the size check but fail human or automated review later. Shoot against a plain white wall in daylight; note this tool resizes and compresses but does not replace backgrounds.

Why Use This Tool

First, an honest note you will not find on coaching sites: the detailed CRP RRBs-XV (IBPS RRB 2026) notification has not been published yet as of August 2026 — only the official IBPS tentative calendar for 2026-27 (dated 16 January 2026) exists. The specifications on this page come from Annexure III of the official CRP RRBs-XIV notification, the most recent official cycle document, and the 2026-27 calendar independently confirms the identical file-size ranges — photo 20–50KB, signature 10–20KB, thumb 20–50KB, declaration 50–100KB, all JPEG — for the new cycle. We will verify and update this page the day the XV notification drops. Registration is expected around August–September 2026, going by the XIV window of 1–21 September 2025.

The specs themselves: a 200×230 pixel (4.5cm × 3.5cm) passport-style colour photo at 20–50KB on a white or light background, and a 140×60 pixel signature at 10–20KB in black ink, not in capital letters. This tool hardcodes both — upload, crop with the locked 20:23 or 7:3 guide, and download ibps-rrb-photo.jpg or ibps-rrb-signature.jpg. The compressor binary-searches JPEG quality to land inside the band, which matters because the portal enforces the 20KB and 10KB minimums too, and per the XIV notification the form will not advance to the next stage until both files pass validation. The official guidance still suggests fixing failures with scanner DPI settings or MS Paint; this does the same job in one click, entirely in your browser.

IBPS RRB 2026 is worth the preparation: it is one of India's largest bank recruitments — the XIV cycle opened with 13,217 indicative vacancies — and under the post-May-2025 One State One RRB structure there are now 28 Regional Rural Banks, one per state or UT, each with a prescribed local language (Table A of the notification). You select a state, sit for exams in that state, and cannot change your RRB preference after submission; Office Assistant applicants must have studied the state language at standard VIII or above (or get six months post-joining to learn it). You may apply for Office Assistant plus at most one officer post — two officer applications mean summary rejection. Per the official IBPS calendar, Officer Scale I prelims fall on 21–22 November 2026 and Office Assistant prelims on 6, 12 and 13 December 2026, with mains on 20 December 2026 and 30 January 2027 respectively.
