How to Write the IBPS Handwritten Declaration (Step by Step)

The declaration is the upload aspirants most often get wrong, because the rules are scattered across Annexure IV of the notification. Here is the complete procedure in one place:

  1. Take plain white paper. The scanned area should correspond to roughly 10cm × 5cm — a wide strip, not a full page. Unruled paper scans cleanest.
  2. Use a black-ink pen. Black ink is mandatory for the declaration (unlike the thumb impression, where blue is also allowed).
  3. Copy the exact text.Use the copy button above the declaration upload area and write it word for word, filling your name into the blank: “I, _______ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required.”
  4. Write it yourself, in English, not in capitals. Normal running handwriting in sentence case. A typed declaration, capitals throughout, another language, or anyone else's handwriting makes the application invalid per the notification.
  5. Scan at 200 DPI (True Colour) or photograph the strip straight-on in good daylight with no shadows.

Why Thumb & Declaration Uploads Get Rejected — Decoded

The IBPS portal gives no reason when it refuses a file, so aspirants end up guessing. These are the real causes behind the rejections reported on Quora, Careers360 and coaching-site threads — and the fix for each:

Generic "file error" on upload, no explanation given

The portal never says why. It is almost always file size outside the window (thumb 20–50KB, declaration 50–100KB), a non-JPEG format, or wrong dimensions. This tool outputs exact-spec JPEGs so all three causes disappear.

File below the minimum size floor

Thumbprint uploaded in the declaration slot (or vice versa)

Signature uploaded instead of the declaration

The 140×60px signature and the 800×400px declaration are separate uploads with different specs. A signature in the declaration slot means the mandatory declaration is missing. Write the full declaration text and upload it in the correct slot.

Declaration written in capital letters

Annexure IV explicitly says NOT in capital letters. Rewrite in normal running handwriting — ordinary sentence case — in black ink, and rescan.

Declaration written in blue ink

The declaration requires black ink (the thumb impression may be black or blue). Rewriting takes two minutes; do not risk document verification on blue ink.

SBI declaration wording reused in the IBPS form

Bank notifications phrase the declaration differently. Check your old scan against the IBPS wording verbatim — if it differs at all, write a fresh one with the exact text shown above the upload area.

Typed, or in another language, or in someone else's handwriting

All three make the application invalid per the notification. The declaration must be in the candidate's own handwriting, in English — no exceptions, however untidy your writing.

Declaration looks squashed or cut off in the application printout
